What is AI RFP response software?

AI RFP response software is a system that parses RFPs, RFIs and security questionnaires, matches each question to your approved content library, past submissions and policies, and drafts answers with citations. It outputs a completed response file, a confidence rating per answer, and a short list of questions that need a subject-matter expert.

Sales and bid operationsDelivered in the US, UK and UAEUpdated
The cost of copy-paste bids

Your experts rewrite the same answers for every buyer, then bids go out late anyway.

Proposal managers chase engineers, security and legal for answers that already exist in last quarter's submission. Questionnaires arrive in slightly different wording, so nobody trusts the old answer, and deals wait.

Teams spend 33 hours per RFP on average with about nine people contributing, per Loopio's benchmark of 1,500+ teams.[1]

RFPs influence 30% to 40% of total revenue for the teams in the same report.[1]

SaaS salespeople spend over 10 hours a month on security reviews in Whistic's 2022 survey.[2]

34% lost deals outright because they could not respond to security assessments fast enough.[2]

What we deploy

A bid engine that drafts from what you have already approved.

Inputs · past bids, policies, trust docs

Governed answer library

We build the library from what you already have, not a blank template, and track who owns each answer and when it expires.

  • Past RFPs, RFIs, SIG, CAIQ and custom questionnaires
  • SOC 2 reports, ISO policies, DPAs, product docs in SharePoint or Google Drive
  • Owner, approval date and review cycle on every answer
Drafting · retrieval with citations

Question-by-question drafting

Each question is matched on meaning, not keywords, and answered only from approved sources, with the source linked.

  • Excel, Word, PDF and procurement portal formats
  • Tailoring to buyer, region and product line
  • Confidence score and 'no approved answer' when nothing fits
Workflow · SMEs and CRM

Review, approve, submit

Low-confidence and new questions go to the named expert in Slack or Teams. Approved new answers flow back into the library.

  • SME assignments with deadlines
  • Go/no-go summary and win-theme checklist
  • Submission logged against the Salesforce or HubSpot opportunity
The 21-day production pilot

Run a live bid through it inside three weeks.

Days 1–4

Collect and agree the metric

We gather 10–30 past submissions and your key policies, and agree one metric, usually hours per response or share of answers accepted without edits.

Days 5–10

Build the library

Past answers are de-duplicated, tagged by topic and owner, and stale content is flagged for review.

Days 11–16

Blind test on a past bid

The system drafts a completed RFP you already submitted. Your team compares it to what was sent and scores each answer.

Days 17–21

Live bid

A current RFP or security questionnaire runs through the full workflow. We measure hours and edit rate against your baseline.

Why it matters now

More bids, more questionnaires, same number of experts.

Bid volumes are rising and security reviews now sit inside almost every enterprise sale. The constraint is expert time, not writing talent.

  • Answer only from approved sources
  • Show the source on every answer
  • Expire content before a buyer notices
  • Send experts only what is new

Questions buyers ask

AI RFP response software: frequently asked questions

How accurate is AI RFP response software?

AI RFP response software is accurate when it answers only from approved content and says so when nothing fits. Stratgik drafts each answer with its source and a confidence score, and routes low-confidence or new questions to an expert. In the pilot we blind-test on a bid you already submitted so you see the edit rate before a live deal.

Can AI fill out security questionnaires like SIG and CAIQ?

Yes. AI can complete most of a SIG, CAIQ or custom security questionnaire from your SOC 2 report, ISO policies, DPAs and previous answers. Each response links to the policy it came from. Questions about new controls, or where policies are out of date, are flagged for your security lead instead of guessed.

Will the AI make up answers in our proposals?

It is designed not to. Answers are generated only from documents in your approved library, each carries a citation, and when no approved source matches, the question is marked 'no approved answer' and sent to a named owner. Nothing is submitted without human review, and your team can see exactly where every sentence came from.

How is this different from Loopio or Responsive?

Dedicated RFP platforms are good products for proposal teams that will curate a library inside the tool. Stratgik builds the library for you from existing bids and documents, runs in your own cloud account, and connects to wherever your content already lives. Fixed pricing with unlimited users suits companies where many experts contribute occasionally.

How long does it take to implement AI RFP automation?

Implementing AI RFP automation takes about three weeks. The first ten days build the answer library from past submissions and policies, the next week blind-tests on an old bid, and the final days run a live RFP or security questionnaire. Most of your team's effort is supplying documents and scoring the test draft.

How much does AI RFP response software cost?

A Stratgik AI RFP response pilot costs $10,000 for 21 days, including library build, blind test and one live bid. Production runs at $2,500 a month with unlimited users and responses. Model and cloud usage is billed at cost. One won deal from a bid you would otherwise have declined typically covers the year.
