Leases, amendments and side letters turned into audit-ready abstracts with citations.

AI lease abstraction for owners, occupiers and finance teams. It reads the lease and every amendment, rebuilds the current rent schedule and options, and cites the page for each field. Your lease administrators and accountants approve before anything posts.

What is AI lease abstraction?

AI lease abstraction is the use of document AI and language models to read commercial leases, amendments and side letters and extract the key terms into a structured record. It outputs parties, premises, term, rent and escalation schedules, renewal, break and purchase options, service charge or CAM terms and critical dates, each linked to its source clause, ready for lease administration and IFRS 16 or ASC 842 calculations.

The cost of abstracting by hand

The lease file says one thing, the system says another, and nobody knows which is current.

Portfolios grow through acquisitions, renewals and amendments. Abstracts go stale, critical dates live in spreadsheets, and lease accounting depends on data nobody has re-checked against the documents.

Present value of off-balance-sheet lease payments disclosed by listed companies before IFRS 16 and ASC 842 brought them on balance sheet, per the IASB.[1]

of public companies found lease data collection and systems somewhat or very difficult, in a 2017 CBRE and PwC survey on adopting the new standards.[2]

reported greater-than-expected effort to implement, in the same CBRE and PwC survey.[2]

What we deploy

From a folder of scanned leases to a verified lease register.

Inputs · leases, deeds, side letters

Document assembly and abstraction

We group each lease with its amendments, licences and side letters, then extract terms using your abstract template.

  • Handles scanned PDFs, poor-quality copies and multi-document lease families
  • UK, US and UAE lease conventions: rent reviews, CAM, service charge, Ejari references
  • Custom fields for retail turnover rent, co-tenancy and exclusivity
Logic · what applies today

Amendment reconciliation and critical dates

The system works out which clause is current when amendments overlap, and flags conflicts instead of guessing.

  • Current rent schedule rebuilt from base lease plus every variation
  • Break, renewal and review dates with notice deadlines
  • Calendar and email alerts to asset, property and finance owners

Lease register and accounting data

Approved abstracts flow into the systems that run your portfolio and your lease accounting.

  • Pushes to Yardi, MRI, CoStar Real Estate Manager, Visual Lease or NetSuite
  • IFRS 16 / ASC 842 inputs: commencement, term, payments, options reasonably certain flag for accountant review
  • Change log of every abstract edit for audit
The 21-day production pilot

Proven on a slice of your real portfolio.

Days 1–3

Template and sample

We agree your abstract template and pick 50–100 leases across property types and regions, including some with heavy amendment history. One metric is set: field accuracy or hours per abstract.

Days 4–10

Abstract against a gold set

Your team or existing abstracts provide a verified answer key for 20 leases. We measure field-level accuracy and fix extraction rules where it misses.

Days 11–17

Reviewer workflow live

Lease administrators review AI abstracts side by side with the source pages, correcting fields in one click. Corrections are tracked.

Days 18–21

Load and report

Approved abstracts load into your lease system and critical-date alerts switch on. We report accuracy, reviewer time per lease and the rollout plan.

Why it matters now

Lease data now sits on the balance sheet.

Since IFRS 16 and ASC 842, a wrong commencement date or missed option changes reported liabilities, not just a property file. Accurate, cited abstracts are the input everything else depends on.

  • Accounting judgements stay with your accountants
  • Conflicting clauses flagged, never silently resolved
  • Every field cites its source page
  • Documents stay in your cloud tenant

What faster, more accurate abstracts are worth

Two sources of value: reviewer hours saved and rent or recovery errors caught when abstracts match the documents. The time saved and error rate are assumptions; the pilot measures both on your leases.

Questions buyers ask

AI lease abstraction: frequently asked questions

How accurate is AI lease abstraction?

AI lease abstraction is typically most accurate on explicit terms such as dates, rent amounts and parties, and needs more review on judgement-heavy clauses like options conditions or service charge caps. Accuracy varies with scan quality and drafting, so our pilot measures it field by field against a verified set of your own leases. Every field carries a page citation so reviewers can check quickly.

Can AI lease abstraction handle amendments and side letters?

Yes. The system groups each lease with its deeds of variation, amendments, licences and side letters, orders them by date, and rebuilds the current position for each term. Where two documents conflict or the drafting is ambiguous, it flags the conflict with both citations for a lease administrator to decide rather than picking one.

Does it calculate IFRS 16 or ASC 842 lease liabilities?

It prepares the inputs, not the accounting judgements. The abstract provides commencement date, term, payment schedule, escalations, incentives and options, and flags items your accountants must assess, such as whether an option is reasonably certain. Those inputs feed your lease accounting tool or ERP, where your team applies discount rates and classification.

How much does AI lease abstraction cost?

Stratgik's pilot is a fixed $12,000 for up to 100 leases using one template and one target system. Run is $2,500 a month for ongoing new leases and amendments. Scale for backlogs, acquisitions and accounting integration starts from $6,000 a month. OCR and model usage are billed at cost. Per lease, this usually compares favourably with outsourced abstraction at volume.

Does it work on UK, US and UAE leases?

Yes. We configure templates for regional conventions: UK rent reviews, break clauses and service charge; US CAM, operating expense reconciliations and co-tenancy; and UAE lease terms including Ejari registration details and service charge provisions. Arabic-language or bilingual leases are supported, with extraction quality tested during the pilot.

How long does it take to abstract a lease backlog with AI?

A backlog of several hundred leases can usually be drafted within days once the template is agreed; the pace is set by how quickly your reviewers approve abstracts. In the 21-day pilot we complete up to 100 leases and measure reviewer time per lease, which gives a reliable forecast for the remaining portfolio.
